The operational layer of the hotel

Your hotel runs on more than a PMS. Livion connects everything behind it.

Warehouse, maintenance and room assets in one connected system — instead of spreadsheets, WhatsApp groups and software that does not talk to each other.

One room. One record. Every system that touches it.

The real problem

Your hotel does not lack software. It lacks connection.

Reservations are digital. The physical operation behind them is not — it runs on hand-offs that a person has to carry from one department to the next.

  • WhatsApp groups
  • Excel sheets
  • Paper forms
  • Legacy tools
  • Staff memory

Between housekeeping, maintenance and purchasing the same facts are retyped again and again — and every retype is a place where work goes missing.

Why a PMS is not enough

Your PMS knows Room 312 exists. It does not know what is inside it.

A reservation system is built around the stay. The operation is built around the physical hotel — and those are two different sets of facts.

Your PMS

Knows the stay

  • Who is staying and until when
  • Rate, board and channel
  • Room availability and status
  • Check-in and check-out
Room 312
Livion

Knows the operation

  • Which air-conditioning unit is installed there
  • Its full maintenance and intervention history
  • Which spare parts a repair needs
  • Whether those parts are in stock right now
  • Which supplier delivered it and until when it is under warranty
  • What the asset has cost over its lifetime

Neither system replaces the other. The PMS manages the stay. Livion manages the operation.

Connected by design

One report. Every consequence, handled.

In most hotels this chain is seven conversations across three systems. In Livion it is one record moving through the operation, carrying its context with it.

Nobody re-entered anything. Nothing was chased.

The modules are not neighbours on a menu — they share one operational model of your hotel.

  1. Room Assets

    Room 312

The room knows exactly which equipment is installed in it.

  2. Room Assets

    Air conditioning unit

Model, install date, supplier and previous interventions are already on file.

  3. Maintenance

    Maintenance issue

The report becomes a tracked job with the asset and room attached.

  4. Maintenance

    Spare part required

The technician names the part the repair needs, not a description of it.

  5. Warehouse

    Warehouse stock

Availability is answered on the spot — or the reorder is prepared.

  6. Maintenance

    Repair completed

Consumption is booked out of stock as the job is closed.

  7. Room Assets

    Asset history updated

The unit, the room and the cost record all reflect what happened.

The operational modules

Three modules that describe how a hotel physically runs.

Each one solves a problem on its own. Together they hold the stock, the work and the equipment of the same building.

01

Warehouse

Know what you have, where it is and where it goes.

Stock across every department, with the deliveries, transfers, consumption and corrections that move it — and the supplier behind each item.

  • Inventory by department, store and location
  • Deliveries booked in from the supplier document
  • Transfers, consumption and corrections on record
  • Real purchase prices and supplier history

02

Maintenance

Turn issues into structured, trackable work.

Anyone reports a problem in a sentence. It becomes a job with a room, an asset, an owner and a history — instead of a message somebody has to remember.

  • Requests from any department, in seconds
  • Assignment, priority and status that hold up
  • Every intervention attached to the room and the asset
  • Planned maintenance and contractor work on record

03

Room Assets

Know what is installed in every room, and its complete history.

The digital model of your physical hotel: every room with its equipment, each item with its model, supplier, documents, interventions and replacement point.

  • Every room with the equipment actually installed in it
  • Model, supplier and documentation per item
  • Full lifecycle: purchase, repairs, cost, replacement
  • Due items raise their own maintenance job

How hotels adopt Livion

Start with one problem. Connect the hotel over time.

You do not have to replace your technology stack to begin. Pick the department that is losing the most time this month.

Each module stands on its own

Warehouse

Stock, deliveries and real purchase costs under control.

Maintenance

Every reported issue tracked from report to done.

Room Assets

A complete register of what is installed in your rooms.

Then connect the operation

Together they become a shared model of the hotel.

The same rooms, the same assets, the same suppliers and the same stock — read by every module instead of maintained three times.

  • A repair knows which part it needs and whether you have it
  • An asset knows its room, its supplier and its full cost
  • A purchase knows which department and which room it served
Alongside your PMS

Keep your PMS. Connect the operation around it.

Livion does not manage reservations, rates or check-in, and has no intention of doing so. It becomes the source of truth for the physical side of the hotel.

Where Livion stands today

Built inside real hotel operations, not around a demo.

Livion was shaped alongside hotel teams in Italy — warehouse managers, maintenance staff and general managers using it during their own working day.

In daily hotel use

Warehouse, maintenance and room asset workflows are in operational use in Italian hotels, not staged for a demo.

Every module available now

Warehouse, Maintenance, Room Assets, Restaurant, MICE and the platform itself are all in production today.

Designed with the people using it

Screens were built with the staff who actually receive deliveries, walk the rooms and close the repairs.

Italian, German and English

Each person works in their own language, and suppliers and guests are written to in theirs.

What connected data unlocks

AI is only useful when the operation is already structured.

Livion is not an AI product. But because it holds rooms, assets, interventions, stock and suppliers as connected records, an ordinary sentence becomes an answerable question.

The value is not the sentence. It is that every fact behind it already lives in one operational model.

See how we implement AI with hotels

The fridge in Room 104 is leaking again.

  • Which fridge — model, supplier, install date
  • "Again" — the two previous interventions on it
  • Whether it is still under warranty
  • Whether the spare part is in stock
  • What a replacement would cost against its repair history
Where this goes

Hotel software digitized departments. Livion connects them.

A hotel is not a set of software categories. It is a physical operation where every part touches the others.

  • Rooms
  • Assets
  • Stock
  • Suppliers
  • Maintenance
  • Employees
  • Events
  • Workflows

One hotel. One operational system.

FAQ

The questions hotel operators ask first.

Is Livion a PMS?

No. Livion does not manage reservations, channel distribution, rates or guest check-in. It runs alongside your PMS and owns the operational layer behind the stay: warehouse, maintenance, room assets and the workflows between departments.

Do we have to replace the systems we already use?

No. Most properties keep their PMS, POS and accounting software and add Livion for the operational work those systems were never built to handle. PMS, POS and finance integrations are configured during onboarding.

Can we start with a single module?

Yes. Each module has standalone value — most hotels begin with Warehouse or Maintenance. Rooms, suppliers, staff and permissions carry over automatically when you add the next one.

What actually makes the modules connected?

They share one model of the hotel. A maintenance job points at a real asset, that asset belongs to a real room, the repair consumes a real item from stock, and that item came from a real supplier. Nothing is retyped between them.

Who uses Livion inside the hotel?

Housekeeping and reception report issues, maintenance staff work the jobs, warehouse and purchasing managers run stock and suppliers, and general managers and owners get the cost and history view across it all.

What does Livion cost?

Indicative pricing starts around €3 per room per month for hotels, €5 per room per month for resorts and €2.50 per restaurant cover per month. Final pricing depends on the modules selected and the onboarding scope.

Which languages does Livion support?

Italian, German and English. Each person on the team chooses their own, and emails to suppliers and guests go out in the recipient's language.

Does Livion work for hotel groups?

Yes. Property-level access and group-level oversight are configured during onboarding, so a group can compare and manage several properties without merging their operations.
